Room Policy
UND permits the orderly use of its facilities by the University community, related parties, and other individuals or groups in their presentation of events which further the mission of the University, provide opportunities for social growth and cultural understanding, and serve the recreational needs of the campus community.
- Priority use of rooms in Chester Fritz Library is for Library operations, Library sponsored events, or when permission is granted from Library Administration and the Office of Safety when appropriate.
- Rooms other than private staff offices and work areas for the day-to-day operations of the Library are classified as either Meeting Rooms, Group Study Rooms, Learning Spaces, or Special Purpose Rooms.
- Users assume all liability for equipment or other valuables involved in the use of the room. Rooms must be left in a clean and orderly condition.
- Non-UND use of library space must be approved by Library Administration and the Office of Safety. A Special Event Approval form may need to be submitted. For more information see the Safety Office policies and forms.
There are four types of rooms in the Library:
There are two meeting rooms available:
- Library Administration Conference Room (217D)
- 4th Floor Conference Room (405-406)
Use of these rooms is subject to the following:
- Priority is given to the meetings of CFL Library staff.
- To be considered for use of a meeting room, other events must
- Follow the University’s policies outlined on the Event Approval Form
- Be library related and sponsored by a member of the Library staff
- Be requested by email or phone at least one calendar week in advance, specifying
- Contact information of requesting entity and of who will accept liability
- Relationship to Library/UND
- Name of Library sponsor
- Purpose for which room is to be used
- Estimated number of people
- Technology equipment needed
- Sponsorship of such events is subject to approval by the Library and UND Admin.
- Upon meeting the above criteria, the event will be scheduled on the Outlook calendar maintained in the Library Administrative Office.
- Scheduling priority is generally on a first-come, first-served basis.
- Scheduling conflicts, which cannot be resolved by the parties involved or the Dean’s Administrative Assistant, are to be referred to the Assistant Director.
North Dakota’s laws state that all government records and meetings must be open to the public unless otherwise authorized by a specific law.
There are fourteen group study rooms available:
- Room 112
- Room 113
- Room 300A
- Room 300B
- Room 300C
- Room 300D
- Room 300E
- Room 304
- Room 305 - includes a computer and large monitor
- Room 331
- Room 333
- Room 421
- Room 422 - includes a computer and large monitor
- Room 423
- Study Rooms are available all hours that the Library is open. Priority use is for students on a first-come, first-served basis, except that Library Administration reserves the right to occasionally reserve a Study Room for a special project.
- Study Rooms are intended for use of groups of two or more.
- An individual using a Study Room may be asked to vacate in favor of a group of two or more.
- Occupants of Study Rooms (or any area in the Library) may be asked to leave the area or the Library by CFL staff for inappropriate behavior. Failure to honor this request or those cited above will result in asking Campus Police to resolve the issue.

Library learning spaces equipped with computers support the librarians’ ability to conduct research instruction sessions. The rooms support collaborative "hands-on" opportunities for students- see Library Instruction for details. Priority is given to these librarian-led instructional sessions, with certain times of the semester creating a large demand for those spaces. Groups outside the library may wish to use the learning spaces, and permission can be granted by the Coordinator of Information Literacy or Library Administration. Acceptable room uses are described below:
- A workshop or one-time use by any class wanting to conduct hands-on research or assessment of students. A faculty or staff member must lead the class; an instruction librarian can be requested and scheduled if available, but this is not a requirement to use the space.
- One-time or short term training for faculty/staff, e.g., TTaDA (Teaching Transformation & Development Academy), Human Resources/Payroll
Learning Spaces cannot be reserved for reoccurring classes that are not directly taught by or in conjunction with Instructional Librarians.
Room Use Policy
- Must have current UND-issued ID to use (UND students, faculty, and staff only).
- The One Button Studio door and windows must remain unobstructed at all times.
- Reasonable noise levels should be maintained and door closed at all time when the room is in use.
- Do not attach anything to the screen, walls, window, or door.
- No food or drink allowed in the studio. Please remove any garbage.
- If something is not working, report it immediately to Access Services.
- Everything is preset. Do not adjust.
- Lock the door when finished and return key to the Access Services desk.
- Failure to follow the rules of the room or damage to the room will result in fines and/or loss of privileges to the studio.
- Use of the 1-Button Studio requires students to adhere to the Code of Student Conduct.
Use of the 1-Button Studio requires faculty/staff/student employees to adhere to the UND Code of Conduct .
Use of the 1-Button Studio requires all to adhere to the Acceptable Use of Information Technology Resources Policy.
Room Reservation Policy
- First come, first serve basis to both online and walk-ins.
- Available through online reservations and walk-ins (ask at the Service Desks).
- 30-minute blocks, up to 2 hours per day and up to 4 hours per week (for first semester).
- Available from 30 minutes after opening until 1 hour prior to closing.
- You will forfeit your reservation if more than 15 minutes late for your reserved time. If you are early, check at the Access Services Desk to see if the Studio is available.
