Interlibrary Loan Policy
We provide Interlibrary Loan (ILL) privileges as a service to supplement collections and electronic resources available on campus and through the campus network. We will seek the most cost-effective loans possible, but there are costs associated with the loan of materials. Faculty, staff, and students are asked to use ILL services judiciously in conjunction with their research.
What is Interlibrary Loan?
Local and Distance students, faculty, and staff may use ILL to borrow books, journal articles or other materials from thousands of other libraries.
ILL Restrictions
If UND already owns an item, we will not request it through ILL unless our copy is lost or unavailable. If an item is in use, we will not request it; you must recall it and/or put a hold on it. Note that some items cannot be borrowed or loaned, such as Special Collections, reserve, and reference materials.
Distance students are an exception and may request material that UND owns to be sent to them.
We will not request textbooks or e-books through ILL.

Who can request ILL materials?
ILL is available to current UND affiliates, including both local and distance borrowers:
- currently registered students (including GRAs and GTAs),
- correspondence students,
- current and emeritus faculty,
- adjunct faculty (must have a form on file),
- part-time-non-benefitted faculty (must have a form on file), and
- current staff.
Local borrowers live in the Grand Forks/East Grand Forks area or come to campus regularly.
Distance borrowers live outside the Grand Forks/East Grand Forks Zip Code area and do not come to campus regularly.
Students, faculty, and staff whose primary library is the SMHS Library Resources or Thormodsgard Law Library should contact those libraries for services.
Submitting a Request
Borrowers must complete a one-time registration for services before submitting a request. Students' addresses must match their "mailing address" in Campus Connection. Faculty and staff should use their campus address unless they are distance users. For proper communication, you must keep both addresses current. Distance users will be emailed additional information and instructions after we receive your registration.
Requests may be submitted by completing one of these forms:
- Online ILL Request Form
- ODIN Primo login – if your registration hasn't been completed, it may take a day or two to activate your requests.
Costs
There is usually no charge to the borrower. However, some libraries charge us for borrowing items. Charges may also include copyright fees. We will try to find the requested item from a source that does not charge. If such a source is not available, you may be asked to pay the difference for any charges exceeding $25.
This happens infrequently. When it does,
- we will ask your permission before filling the request, and
- the cost may need to be prepaid before we request the item.
Because the costs incurred in the ILL process are significant, it is important that the requested materials be needed and used. The borrower's university account may be charged $10 for each requested item not picked up within 30 days of receipt or before its due date.
Receipt of Materials
Local Borrowers
Upon receipt of the requested materials, we will send an email notice to the borrower at the UND email address on their library patron record. However, you should also check the request status through the ODIN online library system.
Physical items may be picked up at the Access Services desk on the Second Floor of Chester Fritz Library. Bring your UND ID card to check out the item.
Allow at least 10 business days for delivery of articles and 15-30 business days for physical items. Journal articles may arrive electronically within a few days. Check your UND e-mail often and save or print articles immediately. Articles are kept on the server for a short time only.
Distance Borrowers
Articles and book chapters not available online may be scanned and emailed to your UND account. Copyright limits may apply.
To ensure proper delivery, you are responsible for keeping your mailing address current in Campus Connection and in the ILL registration database.
Books and other physical items will be mailed to you within the U.S. and Canada only. You are responsible for return postage and shipping for delivery to UND by the due date. We recommend borrowers use a trackable, insured carrier to return items. Processing and replacement fees may be charged for overdue or lost materials.
Requesting a Renewal
An ILL renewal may be requested once only. Granting of renewal and length of renewal is not guaranteed and is at the discretion of the lending library. Some lenders do not allow renewals, and the band on your item may say "No Renewal."
Request ILL renewals one week before the due date. To request a renewal of your interlibrary loan item, ask at the Access Services desk, call us at 701.777.4631, or email us. We will email you with the new due date. If renewal is denied, the item must be returned by its original due date to avoid overdue fines. Nonrefundable processing and replacement fees may be charged for overdue or lost materials.
